Policies, Terms & Conditions
May 15–22, 2027 | Costa Rica
Offered by Svasta Wellness LLC, led by Diana Pipaloff
Effective September 2026
Please review the following policies carefully before registering. By completing your registration, checking the acknowledgment box, and signing the registration form, you confirm that you have reviewed and agree to these Policies, Terms & Conditions.
Registration & Payment
Early Enrollment Deadline
November 30, 2026
Early enrollment pricing is available through November 30, 2026. To receive the early enrollment rate, registration must be completed and either payment in full or an available payment plan must be established by this date.
All accommodations are subject to availability and are reserved on a first-come basis.
Final Registration Deadline
February 15, 2027
Registration after this date may be accepted only if accommodations remain available.
Payment Options
Participants may choose either:
- Payment in full, or
- An available automatic payment plan
Payment-plan pricing may be slightly higher than the pay-in-full price, as shown at checkout. The number of installments available will depend on the date of registration.
Final Payment Deadline
All retreat balances must be paid in full by April 15, 2027.
Payment plans offered at the time of registration will be structured to meet this deadline. Participants registering later may therefore have fewer installments available.
If an automatic payment is declined or otherwise unsuccessful, the outstanding payment must be brought current promptly in order to maintain the reservation.
Accommodations & Occupancy
Accommodation pricing is based on the room category and occupancy selected at registration. Specific room preferences are subject to availability and final confirmation.
Double Occupancy
Double-occupancy pricing requires two paying participants sharing the room. If you are registering with a roommate, you will have an opportunity to provide your roommate’s name.
If you would like to share a room but do not already have a roommate, Svasta Wellness may assist in connecting interested participants. Roommate matching cannot be guaranteed.
If a roommate cancels or is otherwise unable to attend, the remaining participant may be required to:
- pay the applicable single-occupancy rate,
- accept another compatible roommate if available, or
- move to another available accommodation.
Any room changes are subject to availability.
Cancellation & Refund Policy
Because Svasta Wellness makes substantial nonrefundable financial commitments well in advance of the retreat, all participant payments are nonrefundable once paid, including payments made through a payment plan.
Registrations may not be transferred to another participant without prior written approval from Svasta Wellness.
No refunds or credits will be issued for:
- participant cancellation,
- late arrival,
- early departure,
- missed retreat activities,
- unused meals or accommodations,
- individual flight delays or cancellations, or
- a participant’s inability to travel.
For this reason, comprehensive travel insurance is strongly recommended.
Travel Insurance
We strongly recommend that every participant purchase comprehensive travel insurance soon after registering.
Because retreat payments are nonrefundable, participants should consider coverage for:
- trip cancellation and interruption,
- flight delays and cancellations,
- severe weather and travel disruption,
- emergency medical care,
- medical evacuation,
- lost or delayed baggage, and
- other unexpected circumstances that could interfere with travel.
Participants who want broader cancellation flexibility may also wish to consider Cancel For Any Reason (CFAR) coverage.
Travel insurance policies vary significantly. It is each participant’s responsibility to review the policy carefully and determine whether it provides appropriate coverage for airfare, prepaid retreat costs, medical needs, and other travel expenses.
Passport, Visa & Travel Requirements
Each participant is responsible for ensuring that they have all passports, visas, entry documents, vaccinations, or other travel documentation required for travel to Costa Rica and return to their home country.
Travel requirements vary by citizenship, residency status, and country of origin and may change before the retreat.
Participants are responsible for verifying current requirements with the appropriate government authorities before travel.
No refunds or credits will be issued because of missing, expired, incorrect, or insufficient travel documentation.
Participation & Personal Health
By registering for the Svasta Rejuvenation Retreat, you confirm that you are physically and medically able to travel internationally and safely participate in the retreat activities you choose to attend.
Activities may include gentle yoga, meditation, walking, relaxation practices, workshops, and optional excursions or other recreational activities.
You are responsible for evaluating your own health, physical abilities, and personal limitations and for consulting with an appropriate healthcare professional before travel or participation if you have any questions or concerns.
Participation in all retreat activities is voluntary, and you may choose not to participate in any activity that you believe is not appropriate for you.
Svasta Wellness does not provide medical care or medical clearance and is not responsible for determining an individual participant’s fitness to travel or participate.
Dietary preferences and requested food accommodations may be collected separately before the retreat for planning purposes.
Health & Medical Insurance
Participants are responsible for determining whether their existing health insurance provides coverage while traveling internationally.
We strongly recommend obtaining appropriate international travel medical insurance and, when desired, emergency medical evacuation coverage.
Participants are responsible for all medical expenses incurred during travel or the retreat.
Tropical Environment & Weather
Costa Rica is a tropical destination, and the retreat takes place in a lush mountain environment.
Participants should expect normal variations in weather, including sunshine, rain, humidity, wind, and occasional thunderstorms. The natural environment may also include insects, birds, and other wildlife.
We recommend bringing appropriate sun protection, rain protection, insect repellent, comfortable walking shoes, and clothing suitable for changing weather conditions.
Ordinary weather conditions do not constitute grounds for cancellation or refund.
Retreat activities may be moved indoors, rescheduled, substituted, or otherwise modified when appropriate for weather, safety, or operational reasons.
Major Weather Events, Natural Disasters
& Force Majeure
In the unlikely event that a natural disaster, government action, severe weather event, or other circumstance outside the reasonable control of Svasta Wellness makes the retreat venue closed, inaccessible, unsafe, or materially unable to provide the services necessary to host the retreat, Svasta Wellness will work with the retreat venue and other providers to determine the appropriate course of action.
Depending on the circumstances and remedies available from the retreat venue and other providers, options may include:
- rescheduling the retreat,
- applying eligible payments as credit toward a future retreat, or
- refunding recoverable amounts.
The specific remedy available to participants will depend upon the circumstances and the amounts actually recoverable by Svasta Wellness from the retreat venue and other third-party providers.
Ordinary inclement weather, individual or limited flight delays or cancellations, or other circumstances that do not materially prevent the retreat from proceeding do not qualify as a retreat cancellation.
Your agreement with Pura Vida now provides Svasta with materially stronger protection in a genuine force-majeure event, including refund or extended group/personal credit options.
Changes to the Retreat Schedule
The retreat schedule and activities are intended as a guide and may be adjusted when appropriate.
Svasta Wellness reserves the right to make reasonable changes to:
- class and workshop times,
- instructors or facilitators,
- excursions,
- activities,
- retreat programming, or
- other elements of the schedule
when necessary because of weather, safety considerations, venue operations, participant needs, or circumstances outside our control.
Reasonable schedule or program changes do not constitute cancellation of the retreat and are not grounds for a refund.
Optional Activities, Excursions & Spa Services
- pricing,
- availability,
- cancellation policies,
- safety requirements, and
- terms and conditions.
Cancellation by Svasta Wellness
If Svasta Wellness cancels the retreat for reasons within its reasonable control and does not offer a replacement or rescheduled retreat, retreat registration fees paid directly to Svasta Wellness will be refunded.
Svasta Wellness is not responsible for airfare, travel insurance premiums, additional accommodations, transportation, or other expenses incurred by participants as a result of such cancellation.
Circumstances outside the reasonable control of Svasta Wellness are governed by the Force Majeure section above.
Travel Delays & Transportation
Participants are responsible for arranging and paying for their own airfare.
Round-trip airport transportation associated with the retreat is included as described in the retreat package and is subject to the retreat venue’s transportation procedures and scheduling.
Svasta Wellness is not responsible for airline delays, missed connections, cancellations, baggage delays, or other transportation disruptions.
Participants are responsible for any additional transportation or lodging expenses resulting from individual travel delays or changes.
Safety & Personal Property
Participants are responsible for exercising reasonable care for their own safety and personal belongings while traveling and during the retreat.
Please avoid bringing unnecessary valuables and use available secure storage when appropriate.
Svasta Wellness is not responsible for lost, stolen, or damaged personal property.
Participants are encouraged to review current government travel guidance for Costa Rica before departure and may choose to enroll in their government’s traveler-notification or traveler-registration program when available.
Community Conduct
The Svasta Rejuvenation Retreat is intended to provide a respectful, supportive, and safe environment for all participants.
Participants are expected to behave in a manner that respects:
- other retreat participants,
- retreat staff,
- the retreat venue,
- local laws and customs, and
- the safety and well-being of the group.
Svasta Wellness reserves the right to require a participant to leave the retreat if their behavior creates a serious safety concern, significantly disrupts the retreat experience, or violates applicable laws or venue policies.
In such circumstances, no refund will be issued, and the participant will be responsible for any additional transportation, lodging, or other expenses resulting from their departure.
Release of Liability & Assumption of Risk
Participation in the retreat requires completion of a separate Release of Liability, Assumption of Risk, and Informed Consent Agreement before travel.
Participants acknowledge that international travel, yoga and movement practices, transportation, excursions, natural environments, and other retreat activities involve inherent risks.
The separate liability agreement will contain the complete terms governing assumption of risk and release of liability.
